Why mission-critical rooms fail.

When a room disappoints, the cause is almost never a bad product. It is usually a decision made months earlier by someone who was no longer involved when it mattered. The failure modes are predictable, which means they are avoidable. Here are the common ones, and what prevents each.

AV is brought in too late

The most expensive mistake happens before a single device is chosen. AV gets involved after the drawings are frozen, when conduit runs, sightlines, power, and ceiling structure are already set. From there you spend the budget working around the building instead of with it. Bring AV in at the drawings stage, while moving a wall or adding a power drop still costs nothing, and the whole project gets cheaper and better at once.

The gear is chosen before the room is understood

A kit list lifted from a catalog or the last project, then forced into a room it was never sized for, is a room that will always feel slightly wrong. Design the space first: how people actually use it, the acoustics, the sightlines, the way meetings really run. Then choose equipment on merit against that design. The order matters more than the brand.

The work passes through too many hands

One firm designs, a subcontractor installs, a third party writes the control code, the manufacturer takes support. At every seam, intent is translated and a little is lost, until "everyone just knows how it works" quietly becomes nobody knows. This is the single most common root cause, and it is structural, not bad luck. When the same engineer carries the room from the drawing through the build to commissioning, there is nothing to translate and nothing to drop.

Commissioning gets skipped

A rushed project declares itself done at the demo, when it looked good once, on the day, with the integrator driving. That does not make the problems go away. It moves them to your support desk, where they surface in front of the people the room was built for. A room measured against a written plan and signed off before handover is a room you can trust on day two. Here is what that looks like.

There is no real plan for year two

Equipment ages and settings drift. The day after install, every integrator is attentive; by the next quarter, their attention is on the next project. A room that stays dependable is one that is monitored, updated on a planned maintenance window, and backed by someone who notices a fault before your team walks into a meeting and finds it.
